Kaijego Group Trips Payment & Refund Policy

Plans change, we get it.

Should this happen, we want to ensure transparency regarding our refund policy, which has been designed to be fair and flexible to accommodate various situations. Please read the following terms carefully:

1. Deposit Payment

Your deposit payment is a crucial part of securing your spot on the trip. It’s important to note that the deposit is non-refundable. However, we offer the option to apply the deposit to another Kaijego trip of your choice [conditions apply]. This deposit serves as a confirmation of your reservation and contributes towards the total cost of your selected trip.

2. Cancellation and Refund Eligibility for Group Trips

If you decide to cancel your travel arrangements, the amount you receive as a refund or credit depends on the timing of your cancellation as follows:

– Over 180 Days Before the Trip: You are eligible for a full refund of the amount paid, including the (typically) non-refundable deposit.

– Over 90 Days but less than 180 Days Before the Trip: You are eligible for a full transfer of the amount paid to your Kaijego wallet. You can choose to apply this amount payment towards a future Kaijego trip or another service.

– Between 60 and 90 Days Before the Trip: A 20% cancellation fee will be deducted from the total amount paid, and the remaining 80% will be applied as a credit for a future trip.

– Between 20 and 60 Days Before the Trip: You may convert your total payment into credit, with a deduction of 35% of the trip cost. The remaining 65% will be applied as credit for a future trip, subject to availability.

– Less Than 20 Days Before the Trip: No refund or credit will be issued, and the cancellation fee will equal the full booking value.

3. Refund Processing Time

Please allow up to 30 days for the processing of refunds. We strive to complete this process as swiftly as possible but acknowledge that some complexities may occasionally arise.

Refund Policy for Cancellations due to Visa Refusal/Denial

We understand that obtaining a visa for international travel can be a complex and unpredictable process, and we are always happy to provide visa assistance for your application process. However, the final decision always lies with the consular and is totally out of our control. So, in the unfortunate event that your visa application is refused after securing a slot for a group trip, please take note of our refund policy as follows.

Please note that if your plans change solely based on a visa refusal, and nothing else, the details of this section supersede those contained in the “2. Cancellation and Refund Eligibility” section above.

1. Visa Refusal Eligibility

To be eligible for a refund due to a visa refusal, you must provide us with documented proof of the visa denial. This documentation typically includes the official visa rejection letter issued by the relevant embassy or consulate. Without this documentation, we cannot process your refund request.

2. Refund Options

We offer the following options for refunds in case of visa refusal on scheduled group trips:

a. Full Refund: If your visa is refused, and you notify us in writing at least 60 days before the scheduled departure date of the trip, you are eligible for a full refund of the total amount you paid for the trip, excluding the non-refundable deposit which can be transferred to another trip. Should you decide to transfer the total amount paid to another Kaijego trip instead of getting a refund, you will be eligible for an additional 2.5% value added to you in Kai Kredits towards your trip. E.g: If you decide to transfer your total payment of $1,000 to another trip, you will have an additional $25 added to your total, bringing it to a $1,025 value.

b. Partial Refund: If your visa is refused, and you notify us in writing less than 60 days before the scheduled departure date, we may provide a partial refund of the total amount paid for your trip, less a 20% cancellation fee. This cancellation fee may be reduced or waived in some cases like where visa guidelines prevent you from submitting applications earlier than you did. This will be determined on a case-by-case basis.

3. Refund Process

To request a refund due to visa refusal, please follow these steps:

  1. Notify us in writing via email as soon as you receive your visa refusal letter. Include your booking details and any other relevant information.
  2. Provide us with a copy of the visa refusal letter and any additional information we may request to assess your case.
  3. We will review your case and determine the appropriate refund, if applicable.
  4. Refunds will be processed using the same payment method you used for your booking, unless otherwise agreed upon.

4. Timeframe for Refunds

We aim to process refunds promptly. However, the exact timeframe may vary depending on the complexity of your case and the payment method used. Please allow up to 30 days from the date of our decision for the refund to be processed.

5. Non-Refundable Fees

Please be aware that certain fees, such as non-refundable booking fees or third-party service charges e.g: credit card charges, may not be eligible for a refund in most cases, even in the case of visa refusal.

7. Changes to Refund Policy

We reserve the right to amend or update our refund policy related to visa refusals without communicating in advance. However, the policy in effect at the time of your booking will apply.
